Speak up!

Østfold University College should be a good place to be, work, and learn. We are dependent on your feedback to make your study and workdays as good as possible and to fulfill our statutory duties to notify various authorities. Therefore, our encouragement is that you speak up!

In case of serious IT incidents and breaches of personal data regulations, you must immediately contact the University's IRT and report the matter through Notify HiØ.

You can provide feedback on both large and small matters, and you can give both criticism and praise. All inquiries are read and responded to.

Reporting

If you experience or discover harmful, unethical, or criminal events, you should report this. Reporting means notifying about objectionable conditions that have a certain general interest and are not generally known or available. Examples of objectionable conditions can be pollution, research misconduct, corruption, bullying, threats, or sexual harassment.

Deviations

Moreover, you can report deviations related to various parts of your learning or work environment. This could involve flaws and shortcomings in rooms or buildings, excluding environment, issues related to teaching or practice, conflicts, or disruptive behavior. Please try to resolve the matter in collaboration with those involved or your immediate supervisor or representative first.

Breaches of personal data security

In the event of a breach of personal data security, HiØ generally has an obligation to report this to the Data Protection Authority as soon as possible. Breaches can include:

  • Shipping errors, such as personal data being sent to the wrong recipient,
  • Personal data that has or may have been retrieved, altered, or become inaccessible,
  • Hacking of HiØ's data systems,
  • Security holes that we cannot rule out being exploited,
  • Shortcomings or errors in access control that may have resulted in unauthorized access to personal data,
  • Publication of personal data by mistake,
  • Documents that are only discarded and not shredded,
  • Equipment/documents containing personal data that are lost, forgotten, or stolen.

HiØ needs information to be able to report the breach to the Data Protection Authority. Even if you do not have all the information, you should report it, but we ask you to consider whether you have information on the following points:

  • The primary cause of the breach,
  • How long the breach has been ongoing,
  • When the breach was discovered,
  • How many are affected,
  • What happened,
  • How the breach occurred,
  • What types of personal data are at risk,
  • What relationship exists between HiØ and the affected individuals (student, employee, contractor, etc.),
  • Where the personal data is located after the breach.

Praise or tips

Additionally, we welcome reports of good learning or work environment measures at your department or unit that can benefit others, or tips on new measures that can strengthen the environment at HiØ.

Injuries In the event of occupational injuries and diseases, you must also report to NAV and the Norwegian Public Service Pension Fund. This applies to both employees and students (when they have participated in organized teaching). See more information on injury reporting.
