Registering Results in NVA

NVA (Norwegian Research Information Repository) is a national research information system. NVA collects and makes available information about Norwegian research and oversees the annual reporting of scientific publications to the Ministry of Education and the Ministry of Health and Care Services (NVI reporting).

Deadlines

The deadline for registering publications from the previous year is set for January 31 of the following year. Publications registered after this date will not be included in the annual statistics.

Current Year's Publications: Reported publications are part of the Norwegian Science Index (NVI), and statistics and analyses of the university college's publications are presented in DBH and the Indicator Report.

Retrospective Registration: Individuals are free to register previous works that have not already been entered into the database. This can be done at any time regardless of the deadline.

The library sends out a letter each November with the exact deadline to all academic staff.

Procedures and Responsibility Regarding the Reporting of Scientific Publishing

Individual (scientific) employees:

  • Are responsible for registering their research results in NVA.
  • Must ensure that the full-text version of all scientific articles is submitted to the knowledge archive. Most journals only allow the submission of the post-print version (final version after peer review). In cases where the journal permits the submission of the publisher's published PDF, it is recommended that this version be submitted to the knowledge archive.

Deans of the faculties:

  • Have overall responsibility for ensuring that employees at their faculty register their works.

University College Library:

Library's NVA Curators:

  • Assist researchers and respond to curator support inquiries for their organizational unit.
  • Control and approve the publishing of uploaded files and licenses.
  • Control and approve NVI publications for reporting.
  • Handle DOI requests.
  • Scientific articles should not be approved for reporting until a full-text version has been submitted to the knowledge archive. If the full text is not delivered by February 1, a reminder should be sent to the corresponding author that the full text must be submitted to the knowledge archive.

Library's NVA Administrators:

  • Have overall responsibility for registration, quality assurance, and approval of publications.
  • Prepare reports and assist management with reports and analyses of publishing.

Library Director:

  • Has primary responsibility for reporting to DBH.
  • Presents doubtful cases to the publishing committee.
