How to inform about application plans and initiate the application process
Researchers planning to apply for external funding for R&D projects must notify the Vice Dean for Research and their immediate supervisor at their department/faculty via this online form: "Registration of Plans to Apply for External Funding for Research".
The online form is managed by the Research Administration Section and will be included in the institution's comprehensive overview of applications for external funding for R&D projects.
Why inform about application plans?
Østfold University College is responsible for all applications and projects. The responsibility is placed with the Dean, who must approve the submission of the application.
Briefing meeting
After submitting the online form, a research advisor will invite to a briefing meeting with the researcher and the Vice Dean for research. During the meeting, the project idea, application plans, and possible calls for proposals will be discussed. There will be a clarification of expectations regarding the further process, deadlines, and progress. A project controller will participate if necessary. The research advisor will send out a summary of the briefing meeting to all involved parties, including relevant management (Dean, Head of Department, and program leaders).
Application writing process
The researcher and other partners/participants in the project are responsible for the academic quality of the application. The research advisor will ensure that the application meets all requirements, involves the project controller, and ensures that necessary contracts are in place. The research advisor may provide additional support as agreed.
Finance and budget
The project controller will prepare the budget based on information from the researcher, other partners/participants, and requirements set by the funder. The researcher, together with the project controller, research advisor, and Vice Dean for research, will review the planned activities and positions collectively.
Approvals
The Vice Dean for research will provide the Dean with a summary of the process and the final application with the budget. In applications that include an in-kind component, the total value of the project for Østfold University College is presented. This can include the development of academic environments, external collaborations, relevance to educational programs, and relevance to strategic goals for both Østfold University College and the relevant faculty. This summary forms the basis for the Dean's assessment.
