Email Guidelines

Here is a brief checklist for sending emails. Please read it before contacting us next time. However, we also encourage you to take a little time to see if you can find the answer yourself first:

  1. Email is considered official correspondence. Please be mindful of your wording, clearly explain your inquiry, and write in complete sentences.
  2. Email inquiries are handled in accordance with the provisions of the Public Administration Act. We will respond as quickly as possible and within the statutory deadlines.
  3. Please do not send the same email multiple times or contact additional staff members if you do not receive an immediate response. This increases the volume of inquiries and may result in longer processing times.
  4. Remember to sign your email with your full name and, preferably, your student number and study programme.
  5. Do not send sensitive personal information by email. If you need to submit such information, please use the Submission of Sensitive Information form.
  6. Communicate with one contact person whenever possible. If you believe it is necessary to contact multiple recipients, ensure that all recipients are clearly visible in the email’s recipient field.

Kind regards,
